GST E-Invoicing for Manufacturers: The Mismatch That Stalled a Dispatch

One wrong e-way bill held a loaded truck at the gate for half a day. A plain-language guide to GST e-invoicing and e-way bills for Indian manufacturers, and how to stop the errors at their source.

A loaded truck. A waiting customer. And a gate the truck couldn't leave through, because the e-way bill didn't match the invoice. A components manufacturer in Pune lost half a day to a single data-entry slip: the invoice value on the portal didn't tally with the document the transporter was carrying, and the dispatch froze.

If you make things in India and your turnover has crossed the e-invoicing threshold, this is the reality now. Your tax document and your goods have to agree, in real time, or the goods don't move. And the cost of getting it wrong goes well past the fine: a stalled shipment and an unhappy buyer waiting at the other end.

What e-invoicing really means

E-invoicing doesn't mean emailing a PDF. It means your invoice is reported to the government portal the moment you raise it, and the portal sends back a unique IRN and a signed QR code. Only then is it a valid tax invoice. The e-way bill for that shipment then draws on the same authenticated data.

When invoicing, IRN generation, and the e-way bill are three separate manual steps, a mismatch will turn up sooner or later.

Why manual invoicing breaks

The Pune unit wasn't careless. They were doing what thousands of factories do: raising the invoice in one place, generating the IRN in another, and the e-way bill in a third, each by hand. Three manual steps, three chances for a number to drift. Over a busy month, one of them will.

The fix: one source, three outputs

Telling people to be more careful won't fix this. Raise the invoice, generate the IRN, and create the e-way bill from a single set of data, and the three documents simply can't disagree. When your billing system talks to the GST portal directly, the IRN and QR code come back on their own and the e-way bill is one click rather than a re-entry. That's exactly how Facto's billing is built to work.
